Why use Automatic Time Entries?

Automatic time entries save technicians time by turning AI generated call summaries into service ticket notes and billable time entries. This reduces manual data entry, ensures important details aren't missed, and improves consistency across tickets. By capturing work as it happens, teams gain better visibility into effort, faster invoicing, and more reliable reporting without adding extra steps into the technician's workflow. 

Enable Automatic Time Entries

  1. Login to 1Stream Admin Portal and navigate to Administration → Manage Organization.
  2. In the Connected Account and CRM Settings section, click on the name of your PSA.
  3. Enable the setting “Add Time w/Transcriptions” and Save.

How it works

This feature utilizes the service ticket tagging process. When an agent tags a service ticket to their call, the following will happen.

  • Call recording mp3 posted as an attachment to the ticket.
  • Full call transcription posted as an internal/private note to the ticket.
  • Call Summary portion of the transcription posted as a public note with time entry matching the start & end time of the call. These notes will include a prefix of “AI Call Summary:

Processing Time

Data is not instantly posted due to service tickets due to audio file conversion (wav to mp3), OpenAI processing, and API calls involved.
We estimate anywhere from 5 - 15 minutes for processing time depending on the length of the phone call being transcribed.
